ABSTRACTS

The organisers of the 12th World AIDS Conference wish to encourage community representatives and researchers to submit abstracts with their registration forms or their scholarship applications. The following is a short description of the ABC’s of writing an abstract.

What is an abstract? It is a summary of a research study or the outline of the significant results of a project.

Who can submit an abstract? Anyone who wishes to participate in the Conference programme may submit an abstract. A complete conference registration form or scholarship form must precede or accompany an abstract. See the Second Announcement for the necessary forms and instructions.

What happens to an abstract? The abstract must be submitted to Congrex before February 2, 1998. Faxes are not accepted. An abstract is then categorised according to one of the four Conference Tracks. It is judged by a group of peers, graded and then considered by a Track Committee who will decide on where it best fits into the Conference Programme. Some are chosen for oral presentation, some for poster presentation and some printed in the abstract book.

What are the points to cover in an abstract? There are two kinds of abstracts that we might describe as the classical scientific study kind and the experiential or observational kind. You use the same form for either. The research kind usually has four components: background, methods, results and conclusions. The experiential usually contains issues, project, results, and lessons learned.

Helpful hints:

  1. Choose the kind of abstract best suited for your study or project.
  2. Review your research or project to decide on key findings or significant points that you wish to highlight.
  3. Summarise these key points.
  4. Ask your colleagues for their opinions. Review abstracts from previous conferences.
  5. Fill in the forms carefully. Follow the instructions in the Second Announcement. Write in English within the allotted space.
  6. Send abstracts so that they arrive in Congrex (Sweden) by February 2, 1998. Faxes or late abstracts will not be considered.

THE SCHOLARSHIP PROGRAMME

WHAT IS IT?

The Geneva Conference has committed substantial funds to establish a Scholarship Programme that will enable delegates from resource-poor environments to participate in Skills Building Workshops and in the Community Rendez-Vous in addition to attending the Conference.

WHAT DOES IT PROVIDE?

Scholarships will include registration, travel, accommodation, and meal allowance. However, these costs may not all be covered. It is therefore essential that you make every effort to secure as much financial support as possible from other sources and thus limit your request to the Scholarship Programme.

WHO WILL BE SELECTED?

The Conference Committee wants to especially promote the participation of the following:

  • those most affected by HIV/AIDS
  • those whose abstracts have been selected for the Scientific Programme
  • those who will be active participants in the Community Programme
  • those who have strong links to community-based organisations and networks
  • those who would use and disseminate the knowledge gained at the Conference

WHERE CAN I GET AN APPLICATION FORM?

Application forms will be sent out with the Second Announcement. Should you not be on the Conference mailing list, you can request this from CONGREX at the following email: aids98@congrex.se or fax +46 8 661 91 25. Second Announcements and application forms will also be available at regional conferences and from key AIDS networks.

HOW SHOULD I FILL OUT THE FORM?

It is very important that you fill out the form very carefully and thoroughly. It is one of the main selection tools. Follow the directives closely and provide all the pertinent information that is requested. As you are applying for a scholarship, you should also check what documents you will require from your government to exit your country and whether you need a visa to enter Switzerland.

WHEN WILL I KNOW?

Applicants will be advised by the end of April whether they have received a scholarship. If you receive an award, you must be ready to start the process for exit documents and visa applications immediately.
