12th World AIDS Conference

Satellite Meetings

Commercial and non-commercial satellite meetings on specific issues related to HIV/AIDS will take place on-site and off-site each evening, some early mornings, and on the day before the Conference opens.

Intended for the benefit of Conference participants, satellite meetings will be fully organised and operated by the body proposing the satellite (company, government, institution, or NGO) and approved by the Conference organisers. A fee will be charged to organise a satellite meeting.

In order to ensure that satellite meetings meet the scientific and ethical standards of the Conference, all satellites will:

• Deal specifically with HIV/AIDS within the context of the official Conference programme.

• Be evaluated by the Conference organisers on the basis of scientific merit, overall quality and organisational plan.

Priority will be given to satellites dealing with North-South issues, drug accessibility, emergent scientific topics, or global perspectives, and to satellites which complement the Conference Programme, or provide practical training.

Satellite meetings should not be scheduled from 09.00 to 17.00 June 29 to July 2, and from 09.00 to 13.00 on July 3.

• Bodies wishing to organise a satellite meeting are asked to request and complete a detailed proposal (content, plan, speakers, schedule, etc.) and a space request form (see address below).

• Upon approval of the satellite programme, bodies will be asked to submit a 50% deposit of the fee for the satellite. The balance of the satellite fee must be paid prior to inclusion in pre-Conference publications.

• All costs associated with satellite meetings will be assumed by the body organising the satellite meeting (e.g. room rental, food and beverage, audio-visual equipment).

• The Conference organisers will endeavour to avoid overlapping satellite meetings which have the same content or target audience.

Meeting spaces have been pre-booked for pre-Conference, post-Conference and evening satellite meetings. However, as space is limited, bodies are urged to send in complete satellite meeting proposals as early as possible. Proposals will be assessed upon receipt and rooms allocated upon approval.
